William Sons is recruiting for an Assistant Project Manager. This is a full-time position, working Monday to Friday - there are no weekends.
The Assistant Project Manager provides administrative, coordination, and operational support to ensure efficient execution of projects from initiation through close-out. This role is critical in maintaining documentation integrity, facilitating communication between stakeholders, and supporting field and office operations to meet project timelines, compliance requirements, and financial objectives.
Key Responsibilities:
- Prepare and submit One Call locate packages
- Assist in the preparation and distribution of project initiation documents and submittals
- Compile and manage requests for information (RFIs), contemplated change orders, and related documentation
- Maintain accurate, organized, and up-to-date project files
- Support the Project Manager in professional email correspondence
- Coordinate with field operations to track project milestones and progress
- Collect and report quantity and progress data to the Accounting Manager
- Assemble comprehensive project close-out packages
- Assist with the creation and tracking of purchase orders
- Support procurement activities and ensure documentation aligns with contract requirements
- Maintain and organize vehicle and equipment records, including service and maintenance documentation
- Support basic fleet management coordination

- Comfortable working in a fast-paced, field-driven construction environment with changing priorities
- Ability to communicate clearly and professionally in writing and verbally
- Basic proficiency with email and cloud-based document management systems (e.g., Gmail, Dropbox)
