Ryan is looking for an experienced Executive Assistant to help provide administrative and marketing support to his business. This is a maternity leave position that is available immediately and will run until March 2023.

Over all your responsibility will be to support Ryan in his sales goals and show initiative to keep the team organized, well informed and on track with their processes in every aspect of the business. Confidentiality, discretion and privacy are critical parts of the role.

Specifically, your duties will include:

Administrative Duties

  • Sending reports and compose emails to realtors, lawyers and clients
  • Emailing, mailing, scanning and photocopying
  • Managing requests for information
  • Preparing and modify documents
  • Preparing listing and buyer packages
  • Managing calendars
  • Preparing marketing material for digital and print
  • Answering the phone when required and taking messages
  • Arranging couriers, deliveries and pick-ups
  • Corresponding with the brokerage staff to ensure paperwork submission is complete and accurate and providing necessary information to brokerage for listing upload
  • Arranging third-party services for new listings
  • Arranging buyer and seller appreciation gifts
  • Managing and organizing files


  • Communicating offers, listings and open houses on various platforms
  • Helping with event planning throughout the year
  • Preparing newsletters and post cards in email and print
  • Blogging
  • Assisting in the set-up of Canada Post mailing and delivery
  • Preparing material and packages for open houses, buyer visits and Listing presentation
  • Exceptional organizational and time management skills
  • Ability to take initiative and work well with clients, suppliers and other agents
  • Present as a professional
  • Be tactful and have the ability to focus on the priorities of a rapidly changing day
  • Driver’s licence and a personal vehicle are required
  • Honest, hardworking and trustworthy
  • Excellent writing and editing skills
  • Real estate brokerage (or agent assistant) experience would be an asset
  • Computer literate; ability to use and understand software programs
  • Experience using social media platforms, email and understands the importance of contact management systems
  • Ability to create filing systems
  • Familiarity with Microsoft Office programs
  • An understanding of social media including LinkedIn, Facebook, Twitter, YouTube, Craigslist, Yelp, Kijiji and Instagram

Compensation will be based on experience.
