McGrimmon Holdings is a leading property management company located in Renfrew. We are the developers for the Hunter’s Gate subdivision, as well as a new home builder, residential rental properties and residential lots.

We are currently recruiting a Purchasing Coordinator to join our team. This is a full-time position. This is an in-office position working Monday to Friday.

The Purchasing Coordinator will support the property manager by creating purchase orders, maintaining vendor relationships, and ensuring the timely and cost-effective acquisition of materials and services. This role ensures all employees sign in and out tools in the shop, looking after the warranty on all tools with suppliers and having an organized shop. The Purchasing Coordinator works closely with the property manager and maintenance crew on coordination and scheduling of work orders based on material deliveries and maintenance needs. This role requires strong organizational skills, the ability to work collaboratively across departments, and a keen eye for optimizing purchasing processes.

Duties & Responsibilities:

  • Coordinate with the property manager and the head of maintenance to ensure the proper inventory of supplies for common maintenance items
  • Provide purchasing services for projects as requested by the property manager and head office staff
  • Negotiate contracts, delivery schedules, returns and rebates with suppliers and subcontractors
  • Ensure all day-to-day purchases are made at the lowest possible cost, in consideration of quality, pricing and delivery
  • Establish, build and maintain vendor relationships through the development and qualification of new suppliers, while maintaining and monitoring existing ones
  • Ensure proper flow of purchasing documentation and information through QuickBooks
  • Proactively follow up with quotations, analyze comparisons and discuss buying opportunities with the project management team
  • Work closely with the accounting team to verify invoiced orders and coordinate required adjustments with vendors
  • Contribute to the organization through other duties and projects as required and determined by head office management
Qualifications
  • Strong organizational skills, detail-oriented, and able to work under pressure of deadlines
  • Experience in bookkeeping software for data entry, creating and updating spreadsheets
  • Strong verbal and written communication skills
  • A minimum of 2 years of experience purchasing construction supplies and materials
  • Exceptional time management skills
  • The ability to work independently and as part of a team
  • Able to work on multiple projects at the same time and effectively manage priorities
  • Valid drivers license and driver’s abstract
